The first to book will have the Master Bedroom or suite, the second with have second choice, the third third choice and then the rest will be allocated

We require 5 bookings for this retreat to go ahead. It will be refunded or choice to be reallocated should it not go ahead.

Retreat Terms & Conditions

1. Introduction

These Terms & Conditions govern participation in the [ STATE CHANGE ALCHEMY VIP TRANSFORMATION RETREAT )

(the “Retreat”), organised by [Gill Kirkham] (“we,” “us,” or “our”).

By registering, you agree to these Terms in full and acknowledge the transformative nature of this experience.

This retreat involves deep inner enquiry. Participants are expected to arrive prepared, with openness to the process, and a willingness to follow all preparation guidelines.


2. Eligibility

Participants must be 18 years or older.

You must be physically, mentally, and emotionally fit for immersive transformational development and feel curious ( remember the ego resists the change you want so do not confuse hesitation with readiness )

All participants must sign a Retreat Agreement prior to arrival.


3. Payment, Refunds & Cancellations

Commitment to Transformation
By booking, you acknowledge that this is not a holiday but an immersive container for energetic, emotional, and spiritual work. You commit to healthy, clean living at least 2 weeks before and throughout the retreat.

Payments

A non-refundable deposit of [insert % or amount] is not relevant for this retreat

The balance must be paid in full pre retreat

Klarna are available on the booking system

Once booked, you are considered fully responsible for payment, regardless of instalment terms.

Booking Contingency

A minimum of 5 participants is required for the Retreat to proceed as we have a short time fram

If this number is not met, you may choose between:

A full refund

Applying your payment toward a 1:1 experience or a future retreat

Cancellations & Transfers

All payments are non-refundable once booked if the retreat goes ahead

If you cannot attend, you may:

Transfer your place to another participant (subject to our approval)

Transfer to a future retreat, paying only direct costs unless your original space is resold (in which case a refund will be offered)

If we cancel the retreat, you will receive a full refund.

You are fully responsible for travel or personal expenses and agreements with massages and other therapists brought in for your experience


4. Travel & Insurance

You are responsible for your own travel to and from the retreat venue.

We strongly recommend comprehensive travel insurance that covers:

Medical emergencies

Trip cancellations or delays

Lost, stolen, or damaged belongings

We are not liable for personal losses or travel disruptions.


5. Health & Medical Responsibility

You are solely responsible for your physical, mental, and emotional wellbeing.

Please disclose all relevant medical conditions, allergies, or needs before attending.

We do not provide medical care or replace professional treatment.


6. Code of Conduct

Group & Schedule

Attend all scheduled sessions, meals, and activities.

Notify the group (via WhatsApp) if late or absent.

Communication & Confidentiality

What happens at the retreat stays confidential.

Know that when you ask questions you may be best to write answers down as the shadow aspect of you may not be able to hear it yet.

Speak consciously and avoid gossip, judgment, or unsolicited advice. People will trigger you and this will be about you as much as them, a good oppotunity to reflect and

Respect turn-taking: wait until others finish before responding.

Always ask before offering reflections (e.g., “May I offer something?”).

Honour 1-minute sharing boundaries.

Personal Space & Energy

Maintain a peaceful, respectful environment.

Honour quiet time and personal space.

Clean up after yourself and support shared space upkeep.

No external visits or socialising outside of the retreat container.


7. Pre-Retreat Preparation

Lifestyle Adjustments (from 2 weeks before the retreat)
Participants are expected to minimise or eliminate:

Meat, alcohol, processed foods

Smoking (nicotine only permitted for intentional practices)

Recreational drugs

Late nights

Toxic or draining relationships

Any habits misaligned with your highest good

This preparation supports deeper transformation and integration.

Mandatory Pre-Retreat Call
A mandatory call will establish expectations, share the daily flow, and set the tone for the unified field. Topics covered include:

Grounding practices

Conscious communication

Emotional and energetic container-building

Why discomfort is part of growth

The importance of isolation from distractions (no booze, no social meetups)

Attendance is required to:

Set intentions and clarify expectations

Review protocols and retreat structure

Prepare for group coherence, embodiment, and emotional growth


8. Retreat Agreements (Oath of Participation)

At the start of the Retreat, all participants will sign an oath agreeing to:

Full participation in all scheduled sessions and group meals

Absolute respect for timekeeping

Conscious, compassionate, and non-intrusive communication

Confidentiality of all group and individual sharings

Silence during allocated rest or reflection periods

Designated sharing times: 1-minute shares, with questions held until the end

No giving advice unless asked

Asking permission to speak or reflect: e.g., “What do you see is the way through?”

Not using the Retreat as an opportunity to socialise outside the group

Align energetically by abstaining from distractions (alcohol, parties, unnecessary socialising )

No mobile phone use in the communal areas until the evenings - Camera okay with consent

Deep commitment to heart-space living and conscious development

Letting resistance arise without reacting from it—discomfort is part of growth

Responsibility for notifying the WhatsApp group if you're late or missing a session


9. Safe(r) Space Agreement, Safeguarding & Inclusivity

Safe(r) Space Agreements indicate the behaviour that is acceptable and must be followed. They are put in place to ensure that everyone feels safe and welcome at our experiences.

Our agreements create a safe(r) space to be expressive and intimate, while ensuring that everyone remains respectful of each other. This creates a collaborative, trusting, and respectful environment and community.

These agreements apply to everyone present at our experiences: participants, team members, facilitators, artists, and venue staff.

Consent
If there is someone that makes you feel uncomfortable, for ANY reason, then you should let them know. You do not owe somebody attention nor do you owe them your time or energy.

If you are not interested or do not have the capacity to engage with another or others, you are completely within your right to say so.

Important: Anyone found to be breaching our Safe(r) Space Agreement will be asked to leave immediately.


10. Liability Waiver

You accept full responsibility for your choices and wellbeing before, during, and after the Retreat. You waive any claims against [Your Name / Business Name], its facilitators, assistants, venues, or contractors for any injury, loss, or damages.


11. Force Majeure

We are not liable for delays, cancellations, or changes due to circumstances beyond our control, including natural disasters, pandemics, travel disruptions, or political unrest.


12. Governing Law

These Terms are governed by and construed in accordance with the laws of [Insert Country / Jurisdiction].
